Terms and conditions of entry for the National Photographic Portrait Prize 2009
Entrants must be 18 years old or over at the time of entry.
All entrants must be Australian residents.
Each entrant may submit up to three entries for selection for the Prize. Note that no more than one entry from each entrant can be selected for exhibition. All entries must be the original work of the photographer. The entrant warrants that they own the intellectual property rights subsisting in their entry and that the intellectual property rights and moral rights of a third party have not been infringed. To be eligible for entry in the Prize, the entrant will obtain the consent of persons featured in their submitted photographs for all marketing, educational and publicity uses of such photographs and ensure that no additional consents or licences are required in respect of names, or trademarks, designs, works of art or any other intellectual property depicted in the work.
Each work must have been made after 2 November 2007 and not have been exhibited, reproduced and/or published before being submitted for the Prize.
The fee for each entry is $25 including GST (non refundable). Entrants whose payments cannot be cashed will be considered ineligible. All debit/credit card details must be completed and the expiry date for the card must be at least two months from the date of entry.
Each entry must be accompanied by a completed entry form (including all personal information and artist’s statement) to be considered eligible.
The entry must be a portrait in the broadest sense that is an image of an individual person or persons. The photograph must be taken by the entrant from life. The subject of the portrait can be anyone. Group portraits and self portraits will be accepted. The portrait must employ a photographic medium - ie. an image created by using either traditional photographic emulsion or digital process.
Each entry must be submitted initially as a digital file (saved as a jpeg no larger than 2MB). No original prints should be submitted for the initial selection process. Please note that digital files submitted for the selection process will not be returned to the entrant. All entries must be received by the Gallery by midnight on 2 November 2008. Entrants will be notified from 16 November 2008 if their work has been selected for exhibition. Unsuccessful entrants will not be notified.
The prize money is $25,000 (GST inclusive)
Portraits selected for exhibition must:
- be submitted to the Gallery as finished prints, framed or edge mounted and ready to hang with D-rings (No unframed works will be pinned directly to the wall)
- not include glass in the framing process (acrylic and Perspex are acceptable)
- not exceed a maximum of 150cm (h) x 150cm (w) (or 2.25 square m), dimensions including frame size.
- include installation instructions and a photograph of the assembled piece if it is a multi panel works. Multi panel works are regarded as one work and the overall size of such works should comply with the dimensions above.
- clearly bear the title of the work as well as the name, address and telephone number of the entrant, on the back of the framed work.
It is the responsibility of the entrant to make all transport bookings and pay all transport fees and charges for the delivery of the work to the Gallery and the return of the work from the Gallery. Entries will be received by the Gallery from 2-6 February 2009 inclusive, between the hours of 9.00am and 4:30pm.Proof of dispatch will not be accepted as proof of receipt. Workswill not be accepted by postal delivery nor will they be accepted unless free of all delivery charges.
Prior to the conclusion of the exhibition tour the Gallery will contact entrants by email to specify the dates by which the works must be collected for return of the work. This collection period will be two week period at the conclusion of the exhibition tour (approx May – June 2010). If works are to be collected by an agent or transport carrier, entrants will need to confirm those details with the Associate Registrar on (02) 6102 7041. Any works unclaimed by the end of the collection period (unless prior arrangements have been negotiated with the Associate Registrar) will be disposed of at the discretion of the Gallery.
While on display at the Gallery and on tour, all works in the exhibition will be insured by the Gallery. The Gallery will be responsible for all transport costs incurred during the tour. It is however the sole responsibility of the entrants to insure the works for loss of/or damage while outside the tour and premise of the Gallery, including in transit to and from the Gallery. The insurance value of the work cannot exceed the market value. The final insurance value of the exhibited works will be determined by the Commonwealth at its absolute discretion.
Works selected for exhibition must be available for continuous display for the duration of the exhibition and the tour. The Gallery reserves the right to remove a work from the exhibition and the tour at its discretion.
Copyright in all the photographs exhibited will remain with the artist. It is a condition of entry however that the entrant grants to the Commonwealth of Australia the right to freely use and reproduce all exhibited works for publicity, promotional and educational purposes associated with the Prize in both digital and print mediums.
Employees of the Gallery and Visa International Service Association are not eligible for entry.
The decision of the judges at all stages is final and no discussion will be entered into.
