Headspace 10: Self/Reflections Terms and Conditions of Entry

Headspace 10 will open at the National Portrait Gallery in September 2010. A selection of portraits will be exhibited in the Gallery and online at portrait.gov.au from 9 September - 7 November 2010.

All participants of Headspace 10 must be students enrolled in an Australian secondary school in 2010. All portraits must be produced after 1 January 2010.

All submissions are to be entered by the nominated school contact teacher, identified on the Headspace 10 Confirmation of Participation form provided to the National Portrait Gallery online. Submissions will not be accepted directly from students.

School based selection

Each school may submit a maximum of six (6) works to be considered for selection in the exhibition. 
Submissions can be a portrait in any media including: 

  • painting 
  • drawing 
  • printmaking 
  • photography 
  • mixed media and media arts (moving digital image) 
  • sculpture 
  • installation

Copyright and permissions 

Portraits must be the original work by students enrolled at the submitting school and must not infringe the copyright or moral rights of any third party.

To be considered for selection, students must obtain the consent of persons featured in their submitted portraits and ensure that no additional consents or licences are required.

Copyright for all art works exhibited remains with the student.  It is a condition of entry however that the students grant the National Portrait Gallery the right to freely use and reproduce all exhibited works for publicity, promotion and educational purposes associated with Headspace. 

Online submission to National Portrait Gallery

For works to be considered for selection the contact teacher must ensure that all fields of the online submission form are completed. Each online submission must be accompanied by

  • an artist’s statement of no more than 100 words
  • teacher’s name, email and school contact details
  • a teacher declaration indicating that the student’s work meets requirements for selection

The artist’s statement contributes to the selection process; it should be well written and describe the student’s ideas, concepts and intent for their portrait. These statements are subject to editing and will provide supporting text for the exhibition. Each work must be submitted for selection as a digital file with the exception of screen-based media which must be submitted on DVD. Digital files for online submissions are to be saved as JPEGs with total maximum file size no larger than 2 megabytes. No original works should be submitted for the selection process.   Please note that digital files submitted for the initial selection process will not be returned.  

Submissions can be made and edited online by teachers between Tuesday 1 June and Friday 18 June 2010. 

National Portrait Gallery selection

A panel will make the selection of works for inclusion in the exhibition. Each individual work will be chosen on its merit and suitability for display. The decision of the selection panel is final and no discussion will be entered into.

Teachers will be notified by 2 July 2010 if a submitted work has been selected for exhibition. Please note that Headspace 10 is not a competition.

Portraits selected for the exhibition should:

  • clearly bear the title of the work as well as the student’s name, address, telephone number and the name and email address of the teacher on the back of the work.
  • should be unframed and unmounted (the Gallery will mount and frame works on paper selected for exhibition)
  • be packed to ensure safety of the work as per instructions provided.
  • not differ in size from dimensions indicated on the online submission form.
  • include installation instructions and a photograph of the assembled piece (if it is a multi-panel or installation work). Multi-panel works are regarded as one work.

Although there are no restrictions placed on the size of 2D and 3D works submitted, consideration of display space limitations should be made. Screen-based works must not exceed 5 minutes duration. These works will be shown on medium-sized flat screen monitor.

It is the responsibility of the school to arrange for packing and transport of selected works to the Gallery.

Packing works of art for transport

The National Portrait Gallery looks forward to receiving your work in the same condition in which you sent it. There are many different ways of packing artwork and several things to keep in mind when choosing a packing method;

  • A work of art travelling via a courier or transport company may pass through many hands and the packing will need to be sturdy and appropriate for the mode of transport. You should also consider the size and fragility of a work of art when selecting the packing materials.
  • The packing should be sturdy to reduce the risk of damage from impact during transit and have appropriate cushioning around the art to reduce the risk of damage though shock. A combination of bubble wrap or tissue paper around the art and packed in a sturdy cardboard box may reduce the risk of damage if dropped, bumped or squashed during transport.
  • Boxes and packages should be clearly labelled with the delivery address, the sender’s address and contact details and be labelled as FRAGILE.

Works must be delivered to:

National Portrait Gallery’s Loading Bay 1 (located in the basement level car park) between Monday 5 July and Friday 30 July 2010, between the hours of 10.00am and 4:30pm. Proof of dispatch will not be accepted as proof of receipt. Submissions will not be accepted unless they are free of all delivery charges.   Whilst on display and during return transit, all works in the exhibition will be insured by the Gallery. The insurance value of the exhibited works will be determined by the Commonwealth at its absolute discretion. The responsibility for loss of and/or damage to works outside the premises of the Gallery, including whilst in transit to the Gallery, is the sole responsibility of the school.  Works for exhibition must be available for continuous display for the duration of the exhibition. Please ensure that works selected for exhibition are not required for school assessment. The Gallery reserves the right to remove a work from the exhibition at its discretion.

Return of works

The National Portrait Gallery will arrange and cover all costs associated with the return of artworks selected for display in the Gallery, after the exhibition closes in November 2010.
